Document Management

Your Team Has No Idea Where Anything Is. We Fix That.

Policies in email. HR forms on a shared drive nobody fully trusts. No single place for a new joiner to start. We build a proper document management system on SharePoint so your team can find what they need, know it is the right version, and get on with the actual work. Fixed price, delivered in 2 to 6 weeks, from $2,400.

6 Document Management Problems We See in SMEs Across the UK, US and Australia

1

Company news lives in an email chain. Important announcements, policy updates and team news go to an all-staff email. Half the team miss it and there is no way to find it later without searching inboxes.

2

No central place for policies and procedures. The staff handbook is a Word document on a shared drive. The IT policy is in an email from 2022. Nobody is sure what the right version of anything is.

3

HR documents are scattered across shared drives. Employment forms, leave policies and job descriptions live in different folders with no clear owner or update schedule. Nobody knows what is current.

4

New staff have no single place to start. No welcome page, no first-week guide, no list of who to speak to. New hires piece it together from conversations. The same questions get answered over and over.

5

You need an external portal for clients or partners. Right now you share files over email or Dropbox. You want a branded, controlled space where clients can access documents, raise requests and review materials.

6

Content gets published and then forgotten. Nobody checks whether the staff handbook is still accurate. Nobody knows who is responsible for updating the policies page. Content stagnates and staff stop trusting it.

A Company Intranet Your Team Actually Uses Because Everything Is Where They Expect It

Email is not a company intranet. Neither is a random SharePoint folder nobody knows about. We build a structured, searchable intranet that serves as the single source of truth for news, policies, documents and people. Maintained by non-technical staff with no IT required.

A proper home page with a news feed, quick links to the tools and documents your team uses most, a staff directory and a Microsoft Search bar. Designed to look like your company, not a default Microsoft template. Built on SharePoint so your non-technical staff can edit it.
A dedicated SharePoint site for each department: Sales, Operations, HR, Finance and any others. Each has its own document library, news feed and shared calendar. Staff only see what is relevant to their role.
We configure Microsoft Search so your team can search across Teams, SharePoint, OneDrive and Outlook from a single box. Bookmarks, acronyms and promoted results set up so the most-used pages appear at the top without scrolling.
The intranet is accessible directly from Microsoft Teams via a tab or the SharePoint app. News published on the intranet is automatically posted to a Teams channel so staff who live in Teams never miss announcements.
Every SharePoint intranet we build works on desktop, tablet and mobile via the SharePoint app. Staff can read news, find policies and access the directory from their phone without a separate mobile system.

News That Reaches Everyone. Policies Everyone Can Find and Trust.

Company announcements should not live in a sent-items folder. Policies should not require a call to HR. We build a news hub and policy library your team uses daily, with the governance structure to keep them accurate over time.

A news section on your intranet home page where designated editors can publish company updates, team announcements and important notices. News is searchable, pushed to Teams and archived so staff can find past announcements without searching email.
A single searchable library for all company policies. Every document has a version history, a review date and a named owner. Staff always see the current version. Owners receive automated review reminders so policies do not quietly go stale.
Every document in the library is tagged with department, category, owner and review date. Staff can filter by department to find only what is relevant to them. Microsoft Search uses these tags to return accurate results instantly.
A Power Automate flow sends the named policy owner a reminder email 30 days before their review date. If the policy is not reviewed in time, a second reminder goes to their manager. Policies stay current without anyone having to track it manually.

handshakeClient Portal

A Branded Client Space. No More Sending Sensitive Files Over Email.

Email is not secure enough for client documents and Dropbox is not professional enough for the clients you want to keep. We build a branded SharePoint client portal where clients access exactly what they need, nothing they do not, and you control every file.

A separate SharePoint site collection configured for external sharing, with your company logo, colours and navigation. Clients access it from a URL that looks like it belongs to you, not a generic microsoft.sharepoint.com address.
Each client gets their own document library with version control. They see only their documents and nothing from other clients. You upload files once and they are immediately available to the right people without sending an email or a link.
Clients log in with any email address. Guest access is set to expire at project end. Conditional access policies prevent downloading to unmanaged devices where required. When a project finishes, access is revoked automatically.
A Power Automate flow alerts the client by email when new documents are uploaded to their library. No more forwarding links. No more emails asking whether the file is ready. Clients check their portal when they get the notification.

An Intranet Without Governance Becomes a Mess Within Twelve Months

Building an intranet is the easy part. Keeping it accurate after launch is where most businesses fail. We design a governance framework that defines who owns what, how often it is reviewed and what happens when someone leaves.

Every page and document library on the intranet is assigned a named owner from your team. The ownership register is a SharePoint page itself, showing who is responsible for what. When staff leave, ownership transfer is documented and communicated.
Every policy and key intranet page has a review date. A Power Automate flow emails the content owner 30 days before that date and their manager 14 days later if the review has not happened. Content does not go stale without someone noticing.
We document the process for publishing new content: who can create pages, who can publish, whether approvals are required and who reviews external-facing content. The process is as light as your business needs it to be and written up clearly in the governance document.
A written admin guide covering how to publish news, update policy documents, create new pages, manage site permissions and add new content owners. Delivered alongside a recorded training session so future editors can be onboarded without calling us back in.

FAQ

SharePoint CMS and Intranet Portal FAQ: Cost, Build Time, Client Access and Maintenance

A SharePoint intranet is a private internal website hosted inside your Microsoft 365 environment. It gives your whole team a single, searchable home for company news, policies, HR documents, department pages and onboarding resources. Staff access it through their browser or through the SharePoint app in Microsoft Teams without any extra login.
SharePoint is the underlying platform. A SharePoint intranet is a designed, structured set of sites built on top of it: a home page with news and quick links, department pages, a policy library and an HR hub, all connected and searchable. Most businesses that "use SharePoint" have disconnected document libraries rather than a proper intranet.
A Starter Portal covering a home page, news hub, policy library and HR document area takes about 2 weeks. A full Business Intranet with multiple department sites, onboarding workspace and search configuration takes 4 weeks. A Client Portal with an external-facing SharePoint site added on top typically takes 6 weeks.
Yes. SharePoint supports external sharing so you can give clients or partners access to a specific site or document library without them needing a Microsoft 365 licence. VarniViews builds dedicated client portals with controlled guest access, branded design and a document governance policy so you know exactly what external users can see.
VarniViews offers fixed-price SharePoint intranet packages. A Starter Portal covering the core pages and document libraries starts at $2,400. A full Business Intranet with department sites, search and governance documentation is $5,200. A Client Portal adding an external-facing site is $8,500. All prices are one-time project fees with no hidden extras.
No. SharePoint intranets are designed to be maintained by non-technical staff. Adding news articles, uploading policy documents and updating department pages all work through a simple editing interface similar to a website CMS. VarniViews includes a training session so your team can manage the intranet day to day without calling IT.
It means working out where your documents should live, how they should be named, who is responsible for keeping them current, and making sure people can actually find them. VarniViews maps your document types, builds the right folder and library structure in SharePoint, sets up permissions and hands over a simple governance guide so things stay organised after we leave.
Yes. VarniViews builds SharePoint intranet portals for small and medium businesses across the UK, US and Australia. All projects are delivered remotely with video calls, screen sharing and written updates to fit your time zone. Fixed-price packages mean the cost is agreed upfront before any work starts.
Yes. SharePoint intranets built by VarniViews are fully responsive and work well on the SharePoint mobile app. Staff can read news, find documents and access the policy library from their phone. The SharePoint app is free to download on iOS and Android and connects to the same Microsoft 365 account your team already uses.
